Terms of
Service
Version 2.0 · in force since 3 Nov 2026
Version 2.0
These terms govern the use of THE WED PORTAL by photography studios, wedding planners and their teams. By opening an account you accept them.
They are written to be read. Where a sentence might look clever, we have tried to explain why it is there.
Who we are and what we offer
THE WED PORTAL is a service of Roberto Rigillo, a sole proprietorship also trading as Chiaia Wedding Studio (referred to below as "we"). Registered office: Viale Colli Aminei 112, 80131 Napoli (NA), Italia. VAT number: 10020181219.
The service is a set of connected applications: the studio or planner workspace, the portal for couples, the portal for guests, the photo galleries, the portal mailbox. Not every feature is included in every plan: what your plan includes is shown on the pricing page and on your Subscription page.
Contacts: info@thewedportal.com for anything, privacy@thewedportal.com for personal data.
Your account
You may open an account if you are of age and act as a professional or a business.
The details you enter must be accurate: if the studio name or the VAT number are wrong, the invoices will be wrong too.
Your credentials are yours to keep. Do not share your password: if someone on your team needs access, invite them — it costs nothing and leaves you in control. You are responsible for what happens under your account, unless you tell us promptly about unauthorised access.
The name you choose for your workspace becomes both your web address and your portal email address. It is unique: first come, first served. We may refuse or change a name that infringes someone else's rights or is reasonably offensive.
Free trial, plans and prices
The trial. Every new account starts with a free trial period, with one limit: a single real wedding. Prospective clients you are following do not count — you can add as many as you like. The trial also has a storage cap, shown on your Subscription page.
The trial runs for 90 days after the date of the trial wedding, so you can use the portal before, during and after the event: it is the only way to tell whether it really works for you. If you move the wedding date, the end of the trial moves with it. There is in any case an absolute cap of twelve months from the day you opened the account.
Prices are published at www.thewedportal.com and shown to you before you confirm a purchase, including VAT where due. We may change them: for subscriptions already running, the new price applies from the next renewal, and we tell you at least 30 days in advance. If it doesn't suit you, you can cancel.
Renewal is automatic, monthly or yearly depending on what you choose, until you cancel.
Payments and invoices
Payments go through Stripe: your cards and bank details never pass through our servers.
For every payment we issue an invoice, available on your Subscription page.
If a payment fails we do not shut the door in your face: we tell you, we retry, and we give you a period to sort it out. If that period passes without payment, the account becomes read-only: you still see everything, you just cannot add. That is deliberate — your couples' data are not a hostage.
Cancellation and closure
You can cancel at any time, from the Subscription page. Cancellation takes effect at the end of the period already paid for: no partial refund, and no extra charge.
Before the account closes we give you a way to take your data out in a readable format. We ask you to do so within the deadline we indicate: after that, content is removed as described in the privacy notice.
We may suspend or close an account if it is used for the purposes forbidden in section 7, if a payment stays unpaid beyond the deadlines, or if the law requires it. Where there is no immediate danger, we warn you first and give you a chance to put things right.
We may also discontinue the service: in that case we give at least 90 days notice, and data export remains available throughout those 90 days.
Your content is yours
The photographs, documents, texts and data you upload remain yours. We acquire no ownership of them and do not use them to advertise ourselves.
You grant us only the technical permission needed to make them work: store them, show them to the people you choose, create the smaller versions used for previews, send them by email when you ask. Nothing else, and it ends when you remove them.
The software, the name and the design of THE WED PORTAL are ours. They may not be copied, resold, or taken apart to work out how they run.
How to use it, and how not to
You agree not to use THE WED PORTAL to:
- send unsolicited bulk email. The portal mailbox is there to talk to your clients and vendors; it is not a marketing sending platform: abuse puts every other studio's mail delivery at risk, which is why we treat it strictly;
- upload unlawful content, or material you have no rights to;
- publish photographs of people without the consent the law requires;
- try to reach another studio's data, work around technical limits, or probe for weaknesses without our written agreement;
- resell the service to third parties as if it were your own.
You remain responsible for your relationship with your clients: contracts, deliveries, image rights, tax obligations. We provide the tool.
Showing one wedding to another couple. If you put photos or videos of a wedding in a quote sent to other couples (a package's photo, the cards of an interactive quote), it is up to you to have the permission to do so in your contract with the couple portrayed. The portal does not ask for a separate consent and does not check your contracts: it only keeps password-protected galleries out of quotes, and stops showing a photo as soon as you remove it.
The assistant and artificial intelligence
The portal includes features based on artificial intelligence models (mail labels and summaries, draft replies, captions, suggestions).
Three things to know, stated here because they matter:
- What it produces is not verified. A summary can be wrong, a draft can contain a mistake or a price you never quoted. Always read before you send: the assistant proposes, you decide.
- The text leaves our servers and is processed by a provider outside the European Union. It is explained in the privacy notice, and it is something you should know before pasting a confidential document into an email.
- It is not professional advice. A suggestion about a wedding or a quote does not replace your judgement.
Availability, maintenance, backups
We do our best to keep the service reachable, but we do not promise a percentage: that would be a comfortable promise to write and a hard one to keep. What we do promise is concrete:
- planned work happens in the quieter hours and, when it may be noticeable, we tell you first;
- we keep backups of the database and we test them;
- if the service is unavailable for a long time through our fault, you can ask for a refund of the corresponding part of your subscription.
Backups exist to bring the system back after a failure, not to recover a file you deleted yourself. For that there are the gallery bin and the cooling-off periods.
Liability
The service is provided as is. To the extent permitted by law, our liability towards you does not exceed what you paid in the twelve months preceding the event that caused the damage.
We are not liable for indirect damages — lost profit, lost clients, loss of reputation — nor for the acts of your clients and vendors.
Nothing written here excludes our liability for wilful misconduct or gross negligence, nor any rights the law grants you that cannot be waived.
Personal data
How we handle your data is explained in the privacy notice.
For your clients' data — couples, guests, contacts, vendors — you are the data controller and we are your processor: the rules are in the data processing agreement, which forms an integral part of these terms and is accepted together with them.
Changes to these terms
We may update them. If a change is substantial we tell you at least 30 days in advance inside the application or by email, and if you do not accept it you may cancel before it takes effect.
Previous versions are kept, with their dates.
Governing law and jurisdiction
Italian law applies.
The courts of Naples, Italy have jurisdiction, except where the law provides for a different, mandatory forum.
